A planning checklist for your charity golf outing
The months before the day, in order.
The whole timeline is on this page. Send it to your email to keep it.
Your timeline
6 months out
- Pick your date and book the course.
- Set your goal and your format. In a scramble, the team plays the best shot each time.
- Form a committee: one person for sign-ups and one for sponsors.
- Check your state's rules for charity events and raffles. Ask a lawyer or tax advisor if you are unsure.
3 months out
- Decide your sponsor packages and what each one gets.
- Open sign-ups online. Keep a paper form for people who want one.
- Start asking sponsors. Many need time to get a budget approved.
- Start collecting auction items, if you will have an auction.
6 weeks out
- Confirm each sponsor in writing.
- Order scorecards, signs and awards.
- Set up scoring. Golfers open a link, with no app.
- Remind people who have not signed up yet.
2 weeks out
- Finish the pairings and send golfers their instructions.
- Confirm catering, sound and the awards plan.
- Test your auction list, if you have one.
- Pack the check-in desk: name tags, pens and a cash box.
Day of
- Open check-in 90 minutes before the start.
- Check that every group has a scoring link or QR code.
- Close the auction before the awards.
- Watch the leaderboard fill in.
Five mistakes to avoid
1.Paper-only sign-up
Paper forms get lost. Offer a link, and keep a paper copy for people who want one.
2.Closing the auction too early
Keep it open as long as you can, and say when it closes.
3.No email at sign-up
Ask for an email address. You will want it next year.
4.One price for every sponsor
Offer a small, a medium and a big package so every business has a way in.
5.No paper backup
Print the tee sheet, cart signs and scorecards. Paper is your backup if the signal drops.

Ready to set up your outing?
Free to set up, no contract. Your golfers download nothing. Until card payments open, you're billed $5 per golfer who pays you directly or that you add, up to $299 per event, after the event. When card payments open, golfers pay the $5 inside the price instead (or you can cover it). 0% on sponsorships, auction, add-ons and donations.
