What is in the post-event report and why totals may differ from your books

What the report counts, what it leaves out, and how to edit the wording.

The report adds up what Redswing recorded. Money you collected outside Redswing is not in it unless you recorded it.

Overview

Open Dashboard → Events → [Event] → Report and click Generate report. The numbers come from your event records. The written summary is drafted by AI from those numbers.

What it counts

  • Registrations marked paid.
  • Sponsors marked paid, including sponsors you added by hand as paid offline.
  • Auction items that are closed or settled, at the winning bid. A closed item counts even if the winner has not paid.
  • Donations that are paid.
  • Fundraising station sales, which are shown separately from donations.

What it leaves out

  • Cash and checks you collected and did not record in Redswing.
  • Live auction items and paper bid winners you handled yourself.
  • Pledges that have not been paid.

If the report total does not match your books

  1. Compare the registrations, sponsors, auction, and donations amounts against your own ledger.
  2. Look for items collected on the day and not recorded, and for auction items closed but not yet paid.
  3. Remember fees. The report shows gross and what comes to your organization after fees. Your bank shows payouts after fees and timing.
  4. If a number in the report looks wrong, open Ask AI.

Edit the wording

There is no in-page editor. Click Copy thank-you template or Download PDF, then edit the text in your own document. Click Regenerate to get a new draft. The report is written for your organization. If a sentence says Redswing raised money, change it, because your organization raised it. Tell Ask AI so the wording can be fixed.
