Letters are built from your records when you download them. Fix the record first, then download again.
Draft for legal review: This article describes how Redswing works in plain language. It is not tax or legal advice and an attorney has not reviewed it yet. Ask your tax advisor or attorney about your own situation.
Overview
Two things carry fair market value (FMV): the notice shown at checkout, and the letters you download from the Tax receipts tab. The notice shown at checkout is saved on each registration at the moment the person paid. It does not change later. The letters are rebuilt each time you download them.
What lives where
- At checkout: the notice uses the FMV you set in the event wizard step Tax & disclosures. Once an FMV is set, Redswing saves the notice it generates on each registration. (The IRS requires a written notice when a payment is more than $75 and the person receives goods or services, such as golf, a cart, or a meal.) The text is generated by Redswing. Never write your own.
- Letters: use the FMV per player you enter on the Tax receipts tab, plus the amounts paid. Keep both numbers the same to avoid a mismatch.
If a receipt shows the wrong amount
- Open Registrations and check what the person actually paid.
- If the amount paid in Redswing is wrong, open Ask AI and ask for a person to review. Redswing cannot change a payment amount from the dashboard.
- If FMV is wrong, correct it on the Tax receipts tab and download the letters again.
- Send the corrected letter and tell the donor it replaces the first one. Keep a copy of both.
If you changed FMV after people registered
- Letters change the next time you download them.
- The notice already stored on each earlier registration keeps the old number. Ask your tax advisor or attorney whether earlier registrants need a corrected notice. Redswing does not decide this.
If a substitute wants a receipt in their name
The payer on the registration is the person who paid. Receipts follow the payer. Whether a receipt in another name is appropriate is a question for your tax advisor.
Things to know
- Only paid contributions appear in letters. A refunded registration drops out.
- Donors should talk to their own tax advisor about deductibility.
