Paper bid sheets and merging them with online bids

Guests bid on paper bid sheets today. How to run them and close the auction.

Paper bid sheets

Today guests bid on paper bid sheets. Online bidding needs a saved card, and card payments are not open yet. Text-to-bid is not turned on.

Overview

Redswing has no screen where an organizer types in a bid on someone's behalf. Paper bids stay on paper. At close, the highest bid on each sheet wins. If any Redswing bids show on an item, compare them with the sheet and pick the higher one.

Before the event

  1. For each item, print a bid sheet: item number, bid code, title, minimum bid, and bid increment. A template is below.
  2. Put the sheet next to the item. Add a card with your bidding rules and close time.
  3. Ask guests to write a name, a phone number, and the bid on the sheet. Each new bid must beat the last by at least the increment.

At close

  1. Tell guests when paper bidding ends. Collect the sheets.
  2. The highest bid on each sheet wins. Break ties by your announced rule, for example the earliest time on the sheet.
  3. The winner pays you directly. Collect cash, a check, or a payment link your organization runs itself.
  4. Record paper winners in your own sheet so your auction total is right. See Auction close and settlement.

Tips

  • Announce one close time and stick to it.
  • Keep one volunteer at the table with the clipboard. Do not move the sheets.
