Sold out and waitlists

What happens when your event is full, what Redswing does and does not do for a waitlist, and how to run one yourself.

When your player cap is reached, Redswing stops taking registrations. It does not keep a waitlist for you.

Overview

If you set a maximum number of players, checkout shows "This event is sold out" and tells the person to contact the organizer once the cap is reached. The Settings page has an option labeled Allow waitlist when full, but it does not create a waitlist today. A separate "notify me" email capture appears only when an event is published and payments are not yet active. It is not a waitlist for a full event.

Run a waitlist yourself

  1. Keep a list in a spreadsheet: name, email, phone, and the date they asked.
  2. When a spot opens, email the first person and tell them how to register. If you raise the player cap, they can use the normal registration page.
  3. To let a specific person in without a card, issue a comp code. See Discount and comp codes.
  4. When a whole team drops, see Swapping or substituting a player.

Raise or lower the cap

Open Ask AI and ask it to change the maximum number of players. It shows a preview and asks you to confirm.

Things to know

  • Do not collect a payment from a waitlist person before you have a spot for them.
  • Say on the event page that the event is full and whether you keep a waitlist.
