A substitution has a few parts: the name on the roster, the person's phone and text consent, who paid, and how their scores count.
Overview
There is no replace-player or edit-name control in the organizer dashboard today. The Registrations page shows players, payment status, and check-in, and lets you export a CSV. The practical approach is to keep the registration as it is and make sure the substitute can score and is counted by your committee, then ask Redswing support to change the name if you need it.
What stays the same
- Payment stays with the person who paid. The substitute does not pay again unless your organization decides otherwise.
- The team stays the same, with the same group, starting hole, and scoring link.
Steps for a one-player swap
- Tell your committee who is coming in and who is out. Write both names down.
- Give the substitute the team's scoring link, or have them stand with the captain. The scoring link belongs to the group, so any team member's link enters the team's score. See Getting scores from players.
- Substitutes who want text updates must opt in themselves. You cannot opt someone in. Redswing only texts people who ticked the consent box on a registration. See SMS consent.
- If the roster name matters (name tags, cart signs, awards), open Ask AI and ask for the player name to be changed. A person at Redswing reviews the request, and it is handled by hand today. Give the registration, the old name, the new name, and a phone number if the new person wants texts.
- Update your printed tee sheet and cart signs if you already printed them. See What to print.
Whole foursome changes
- Same price, different people: ask support to rename the players, or register the new team and refund the old one (see Issuing a refund).
- A team cancels and a waitlist team takes the slot: there is no waitlist manager. Register the new team (or record cash or check) and ask support to change the old registration. Redswing has no one-click team swap.
Swapping players between two teams during the round
Before scoring starts, use Move player on the Pairings page (see Moving a player to another group). Once groups have entered scores, do not move players: tell both teams the change and note it for the committee. For individual formats, scores follow the person who owns the link, so decide with the committee how to count the holes.
Tax receipts
Tax letters use the name of the payer on the registration. A substitute who wants a receipt in their name is a question for your tax advisor. See Fixing a tax receipt.
Things to know
- For a substitute under 18, see Minors at events.
- Regenerating pairings erases hand edits and re-sorts players. Avoid it on event day. See Undoing a pairings change.
