Postponing or cancelling an event

How to move your date, tell registrants, and think through refunds, credits, sponsors, and the auction when you postpone or cancel.

Refund and credit choices belong to your organization. This article shows how to change the date, tell people, and where the money questions are.

Draft for legal review: This article describes how Redswing works in plain language. It is not tax or legal advice and an attorney has not reviewed it yet. Ask your tax advisor or attorney about your own situation.

Overview

There is no Cancel event button, and the event date is not in the Settings page today. You change the date through Ask AI, and you tell people yourself.

Postpone to a new date

  1. Decide the new date with the course and your committee.
  2. Open Ask AI and say: "Change the date of [event] to [date]." It shows a preview and asks you to confirm. It can also change the name or registration close date.
  3. Check the event page and the Pairings page. Registrations and pairings stay. Update the start time under Settings if it changed.
  4. Tell registrants. In Emails, edit the Pre-event reminder text to say the event moved, then click Send to all registrants. This emails every paid registrant.
  5. Send a text from Communications to players who opted in. Many players have not opted in, so email and your own channels matter.
  6. The auction: it closes when you click Close & set winners. Nothing moves on its own. Tell bidders when the new close will be.
  7. Check your printed items (tee sheet, cart signs, hole signs) and reprint if they show the old date.

Typo in the date

Use Ask AI the same way. Check the registration confirmation emails already sent, which carry the old date.

Cancel the event

  1. Decide how you will treat payments (below).
  2. Ask Ask AI to have Redswing support take the registration page offline so nobody pays after you cancel.
  3. Tell registrants, sponsors, and auction bidders in writing.
  4. Issue refunds or credits as you decided. See Issuing a refund.

Refunds, credits, and donations (your decision)

  • Refund everyone: possible one by one. See Issuing a refund. If you refund a golfer, their $5 booking fee is refunded too.
  • Credit for the next event: keep the credit in your own records and give a comp code later. See Transferring a registration.
  • Convert to a donation: only with the person's clear, written agreement, and tax treatment differs. The tax notice saved at checkout will not match a converted payment. Ask your attorney before you offer it.
  • Sponsors: whether a rained-out event still earns sponsor recognition or a refund is between you and the sponsor. Put it in your sponsor terms before the event.
  • If the event does not happen at all: people paid for a round of golf. If you neither refund nor offer a new date, they may dispute the charge with their bank, and consumer protection laws in your state may apply. Talk to your attorney before you decide not to refund a cancelled event.

Sample wording for your rain policy (not legal advice)

"If we must cancel for weather or safety, we will announce a new date on this page. [Choose one: We will refund registrations / We will carry your registration to the new date / Registrations are non-refundable but transferable.]" Have your attorney review the final text.

Things to know

  • Say your policy on the event page before people register. A policy people saw before paying is easier to stand behind than one announced after.
  • If you call play after the round has started, see Rain delays and shortened rounds.
