Times assume a shotgun start. Move everything by the same amount for a different start time.
Two hours before
- Set up the registration table, signs and the printed kit.
- Sign in to the dashboard on a phone and on a laptop or tablet. On the event day the event Overview turns into the Day-of overview with three big buttons: Check golfers in, See who is scoring and Open the leaderboard. See The event-day Overview.
- Check phone signal at the registration desk, the first tee and the clubhouse. Note any dead spots on the course.
90 minutes before: check-in
- Open Check-in. Check golfers in as they arrive: one tap per team, or one tap per golfer. See Check golfers in.
- Put out the self check-in tablet or the printed kiosk QR if you use it. See Set up the self check-in kiosk.
- Golfers who owe money show Owes and an amount. Take cash or a check and tap Mark paid.
- A golfer who is not on the list: add them on Golfers with Add golfer, then put them in a group. See A golfer shows up who isn't signed up.
- A name is wrong or a teammate is swapped: fix it on Golfers before the group starts scoring. Once a group has entered a score, its golfers cannot be moved or swapped between groups.
60 minutes before: scoring links
- Open Scoring. Every group should say Not started.
- Tap Text scoring links if texting is on. Only golfers who agreed to texts get one. See Text the scoring links.
- Make sure every group can get its scorecard another way: the group QR on the cart or at the desk. See Get a group's scoring link and QR code.
- Open the leaderboard on the clubhouse screen and tap TV mode. See Put the leaderboard on a TV.
30 minutes before: the briefing
Say these out loud:
- How to score: open the link or scan the QR, tap minus or plus, check the number, tap Next hole. More than one person in a group can score.
- A tap on the dash enters par. If you never changed the number, the card asks you to confirm par.
- No signal? Keep scoring. The phone saves each hole and sends it when signal comes back. Do not close the page.
- The rules: format, handicaps, the tiebreak rule, contest holes and the auction close time.
- The weather plan and who calls play.
At the start
- Sound the horn. Note the start time.
- Watch Scoring for the first 15 minutes. Each group should change from Not started to Thru 1. A group that does not may not have its link: send a volunteer with the QR.
During play
- Every 30 minutes, look at Scoring for groups that are behind.
- A reminder by text: Messages, then Texts, recipients Haven't finished scoring. Only golfers who agreed to texts get it. See Text your golfers.
- A possible hole-in-one shows as an alert at the top of Scoring and Overview. Check with the group, then tap Confirm ace or Dismiss. See Hole-in-one alerts.
- Contest results (closest to the pin, longest drive): volunteers write them on paper; you record the winner on Contests.
- Anything goes wrong: When phones or signal fail. Someone is hurt: call 911 first. See Event-day emergencies.
Before awards
- Check that every group shows Complete on Scoring. Chase missing groups.
- Want to stop score changes during awards? Turn off Allow score edits in Event settings. See Scoring options.
- Apply the tiebreak rule you announced. The committee makes the final call. See Ties and disputes.
