Sponsors and fundraising

Mark a sponsor paid (or partly paid)

Record the check or cash a sponsor handed you, including a partial payment, so the row stops saying Owes.

A sponsor you added as "Not paid yet" shows Owes $X and a Mark paid button. Click it when the check or cash arrives.

Who can do this: Admin or Editor You will need: how they paid and the amount you received

Steps

  1. Open Sponsors.
  2. Find the sponsor. Their row says Pending and Owes the amount.
  3. Click Mark paid.
  4. Under How, choose Check or Cash.
  5. In Amount received ($), type what you actually got. It starts with what they owe. Keep it, or change it.
  6. Click Confirm.

What happens next

  • Full amount: the badge changes to Paid, a check mark appears, and the message says "Marked paid."
  • Less than they owe: the badge says Partly paid, the row reads "$X received, $Y still owed", and the message says "Marked partly paid. $Y still owed." The rest stays on "Payments you are waiting on". Click Mark paid again when the rest arrives.
  • Totals, the Donors page and the report update. The sponsor counts toward the fundraising meter by the amount received.
  • A sponsor who is already Paid shows no Mark paid button.
  • This only works for check or cash. A sponsor who paid by card is already marked Paid by Redswing.
